This website is operated by Decade On. This privacy notice sets out how we collect and use your personal data. Decade On (Charity Number: 1178019) is the Data Controller and is responsible for the data collected via this website.

We promise to respect any of your personal information which is under our control and to keep it safe. We aim to be clear when we collect your information about what we will do with it and let you know of any material changes to this notice.

What kind of information do we collect from you?

If you register on this site, we will ask you for personal information including your name, email address, level of education, what you are looking for in a mentor, and your preferred mentor and sector. We also ask you to confirm that you are 18 or over, as our service is only available to adults. We will also collect information to measure socio-economic backgrounds.

We will also ask you for information on how your interactions with your mentor are going via email correspondence. 

We also collect IP addresses and cookie identifiers on the website. 

What do we do with information we collect?

We will only use your personal data where we have a lawful basis for doing so.  

In particular, we may process your personal information where it is necessary in our legitimate interests (and your interests and fundamental rights do not override those interests) in order to:  

  1. Match you with a suitable mentor

  2. Get in touch with you regarding your experience with your mentor or other aspects of Decade On

  3. Monitor and evaluate our activities and report to funders

These activities are necessary for our legitimate interests to understand your needs and preferences and facilitate a good match with a mentor.

Information on socio-economic background will be used so that we can focus our efforts with those who need it most.

Information on your experience with your mentor and other aspects of Decade On will enable us to provide a satisfactory service to you, and to continually improve our services for mentees. 

Please make sure that any personal details you provide are accurate and up to date, and let us know about any changes as soon as possible.

How to unsubscribe

If you have previously signed up to receive emails from us, but you don’t want to receive any more communications, please click the unsubscribe link on any email from us or email us on info@decadeon.com

Who else has access to your information?

We may disclose your information to third parties in connection with the purposes of processing your personal data as set out in this policy. These third parties may include:

  • Volunteer mentors

  • Analytics and search engine providers

  • Email marketing tool

  • CRM (Customer relationship management) provider

  • IT service providers

Security

We take all reasonable steps to protect your personal information and follow procedures designed to minimise unauthorised access, alteration, loss or disclosure of your information. We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

Data Retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. When it is no longer necessary to retain your personal data, it will be securely deleted.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

In some circumstances we will anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

Your legal rights

  • Request access to your personal data: this enables you to receive a copy of the personal data we hold about you and to check we are lawfully processing it

You also have the right to object where we are processing your personal data for direct marketing purposes.

  • Request restriction of processing your personal data: This enables you to ask us to suspend the processing of your personal data

  • Data portability: Where the processing takes place on the basis of your consent or contract, and is carried out by automated means, you have the right to request that we provide your personal data to you in a machine-readable format

  • Right to withdraw consent to the processing of your personal data: This applies where we have relied on consent to process personal data. Please note that withdrawal of consent will not affect the lawfulness of any processing carried out before withdrawing your consent

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

Changes to this Notice

We may change this Privacy Notice from time to time.  If we make any significant changes in the way we treat your personal information we will make this clear on the website or by contacting you directly.
